Frequently Asked Questions
We understand that you may have questions, we hope these FAQs will help answer your inquires. If you have any other questions, please don't hesitate to contact the us at the Y, closest to you:
- What is your Refund Policy?
A $30.00 processing fee will be charged on all refund requests. Requests must be made in writing prior to the start of the first game for leagues and a week before the start of any clinics, enrichment programs, or summer camps.
Mt. Hood YMCA & Clackamas YMCA—refunds must be requested at least one week prior to the start date of the program. We will also grant refunds in the case that a player needs to withdraw due to injury or illness.
- What is your Waitlist Policy?
Waitlists begin once registration closes. Paper registrations may be mailed or faxed and will be placed in the order they were received. If your child is placed on a team we will contact you to collect payment information.
- When does registration open?
Registration opens roughly two months prior to the next season. Our programs run for the three months in every season—winter, spring, fall and summer.
- When will I hear from a coach?
We ask every coach to contact their team as soon as teams are finalized. All participants will be notified about practice times and locations one week before the first practice of the season.
Westside YMCA participants will be contacted through Playerspace.
- How many games are in a season?
Most leagues have seven games. However, please verify with the program description, as some do not run as long.
- Why can't we pick the night of practice we want?
Since our coaches are volunteers we allow them to choose their available night and time to accommodate their schedule. During most seasons we have over 1000 registrations and requests from parents. We do not have the capacity to accommodate everyone’s request regarding practice nights.
- If our practice night/time does not work for us can we switch?
On most occasions the answer to this is no. The reason is because it would involve switching teams with another player or adding an extra player to a team that is already at capacity. We will of course take a look to see if there are any convenient changes that can be made, but if not we will refund you your payment.
- Why can’t we practice at the school that my child attends?
Mt. Hood YMCA—we use schools in the Gresham/ Barlow & Reynolds School District. Not all of the gyms are available to us. On the registration it will ask you for the school nearest to your home. This will give us a landmark to use when picking a gym for your child’s practice. Our goal is to keep practice locations convenient for the entire team.
Westside YMCA—we use schools in the Beaverton School District. Not all of the gyms are available to us. On the registration it will ask you for the school nearest to your home. This will give us a landmark to use when picking a gym for your child’s practice. Our goal is to keep practice locations convenient for the entire team.
- Why doesn’t our team have a coach yet?
All of our teams are coached by volunteers. We make every effort during the registration process to invite coaches to Register. If you have not heard from a coach after the first week of practice it is because we are still looking for someone to volunteer.
- Can my youth request a teammate?
We do our best to accommodate teammate requests. On the registration form there will be a place designated for these requests. However, we cannot guarantee all requests due to the large number of participants.
- Can my youth request a specific coach?
We take coach requests on a first come first served basis. To keep the size of teams reasonable we cannot guarantee that you will be placed with the coach that you request however we are able to accommodate this request majority of the time. We cannot guarantee all requests due to the large number of participants.
